RWB is headquartered in Mentor, Ohio with sales offices and manufacturing operations in strategic locations throughout the United States, Canada, Europe and Asia. Haltech, a Race Winning Brands Company, has an immediate opening for an Office Manager in the Lexington, KY location. This is a full-time position working a minimum of 40 hours per week Mon - Friday 8am to 5pm.Position Summary:The Office Manager will work alongside the President and become an important part of a fast-growing team. This person will be expected to perform a variety of tasks, help keep long term projects on track, and handle more urgent requirements. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail.Essential Duties and Responsibilities:Manage professional scheduling for President, including agendas, mail, email, calls, client management, and other company logisticsManage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordinationOrganize meetings, including scheduling, sending reminders, and organizing catering when necessaryProvide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the President's behalfAnswer telephone calls and emails from customers and clients and directing them to relevant staffWelcome visitors and identifying the purpose of their visit before directing them to the appropriate departmentInvoice all orders to customers in a timely fashion in line with terms grantedPerform minor accounting duties and working with central accounting group to resolve issues as neededMonitor and restock office supplies, stationery, furniture, appliances, and electronics as requiredOrganize maintenance companies to keep the office clean and safe and ensure its appliances are in good working orderImprove office operations at local facility and procedure and report progress to senior leadership/corporate headquartersMaintain comprehensive and accurate records Assist Human Resources with administrative tasks, gathering documents, scanning, some data entryOther duties as assignedPM21

Desired Background and Experience: A minimum of 5 years' experience in an administrative role reporting directly to upper management.Human Resources experience a plus.Extremely organized, relaxed and detail oriented while working in a fast-paced, ever-changing environment Expert level written and verbal communication skills.Exceptional interpersonal and phone skills and the ability to interact with staff at all levels Proactive, flexible, calm, and confident.Able to work independently and with little supervision Ability to work on multiple projects simultaneously.Superb written and verbal communication skills.Strong time-management skills and the ability to organize and coordinate multiple projects at once.Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems.Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.Ability to maintain confidentiality.Language Ability:Excellent communication both written and verbal. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, customers, employees, and the general public.
